The main challenge was to create an intuitive system that allowed users to browse available properties on an interactive map, select their choices, and submit a comprehensive application dossier. The previous process was manual and time-consuming for both applicants and the association team.

Association Parme, a property management organization, needed a digital platform to streamline their rental application process. The main challenge was to create an intuitive system that allowed users to browse available properties on an interactive map, select their choices, and submit a comprehensive application dossier. The previous process was manual and time-consuming for both applicants and the association team.
Process
1. Discovery and Requirements Analysis (Week 1)
- Stakeholder Interviews: Conducted in-depth discussions with Association Parme team to understand their rental application workflow.
- Pain Point Identification: Identified key issues in the existing manual process: applicants had to physically visit or call to inquire about properties, and paper dossiers were time-consuming for both parties.
- User Journey Mapping: Mapped out the new user journey with three core steps: map-based property discovery, selection, and digital dossier submission.
- Technical Requirements: Defined the need for interactive map integration, property filtering, multi-select functionality, and a cached selection system.
2. Design Phase (Week 2-3)
- User Flow Design:
- Created wireframes for the complete property selection journey.
- Designed an intuitive map interface with color-coded status indicators, click interactions for property selection, and modal windows for property details.
- Cached Selection System:
- Designed the technical architecture for maintaining user selections across the application process.
- Created a visual indicator (shopping cart style) to show selected properties, with the ability to review choices, edit selections, and maintain choices throughout the session.
- Application Form Design: Structured the dossier request form to capture all necessary applicant information while maintaining a clean, user-friendly interface.
3. Webflow Development (Week 4-5)
- Map Integration: Implemented an interactive map using Webflow native components, custom code, custom markers for property locations, and hover states and click interactions.
- Selection Management: Built a cached selection system using Webflow CMS and local storage, with functionality for users to view property details in a modal, add or remove properties from their selection, and maintain their choices throughout the browsing session.
- Application Workflow: Created a multi-step form that guided users through the dossier submission process, implementing form validation, conditional fields based on property selections, a review step before final submission, and email notifications for new applications.
4. Testing and Refinement (Week 6)
- User Testing: Conducted testing sessions with Association Parme team and sample applicants, identifying usability issues with map navigation and the selection process.
- Technical Optimization: Optimized map loading performance, selection caching mechanism, and cross-browser compatibility.
- Client Training: Trained Association Parme team on how to update property listings, manage the application dashboard, and process incoming dossiers through the new system.
Outcome
1. Business Impact
- Streamlined Application Process: The new platform transformed Association Parmes rental application process from a manual, time-consuming system to a digital, self-service experience. Applicants could now discover properties on an interactive map, make selections easily, and submit complete dossiers online in minutes rather than days.
- Improved User Experience: The interactive map provided an engaging way to explore available properties. The cached selection system eliminated frustration by preserving user choices throughout the application process. The clear, step-by-step form reduced errors and incomplete submissions.
- Operational Efficiency: Association Parme team saved significant time by no longer needing to manually explain property options to each applicant or process paper dossiers. The digital system allowed them to focus on processing applications rather than fielding inquiries, and the organized dashboard made it easy to track and manage incoming dossiers.
2. Technical Achievements
- Complex Feature Implementation: Successfully integrated an interactive property map with selection functionality in Webflow, a platform not traditionally designed for such complex interactions. The cached selection system worked seamlessly without requiring user accounts or persistent login.
- User-Centric Design: Created an intuitive interface that guided users through a potentially complex process (selecting from multiple properties) without overwhelming them. The design balanced functionality and simplicity.
- Complete Digital Transformation: Moved the entire application process online, from property discovery to dossier submission, creating a modern experience that matched Association Parmes professional standards.
3. Lessons Learned
- Map Integration Challenges: Learned the limitations and workarounds for implementing interactive maps in Webflow. Discovered that custom code was necessary for advanced features like marker clustering and custom tooltips.
- State Management in Webflow: Gained experience in creating cached selection systems without backend databases, using a combination of Webflow CMS, local storage, and form fields.
- User Testing Value: Realized the importance of testing complex workflows with real users early in the process. Initial assumptions about how users would interact with the map were proven wrong during testing, leading to valuable design iterations.
